How Migros orchestrated 43,000 event registrations across 75 organizations

TL;DR

To mark its 100th anniversary, Migros invited its employees to a major historic event. More than 78,000 employees were invited and around 43,000 signed up. On two days of the event, around 20,000 people were transported in and out in a coordinated manner.

The biggest challenge: a highly complex, federal construct of cooperatives, subsidiaries, over 80 contacts and sensitive HR data, combined with multilingualism, different communication channels and strict data protection requirements.

With evenito, this complexity was not only manageable, but also orchestrated in a structured manner. Centralized control and decentralized execution were seamlessly intertwined. Registration, contact person management, communication and logistics planning were bundled via one platform and were clearly controlled, GDPR-compliant, scalable at enterprise level and with full transparency across all processes.

This includes one of Switzerland's largest employee parties under the motto: MERCI.

An event of this scale was new territory for Migros. There had never been an employee party of this dimension before.

01 Decentralized structure and over 75 organizations such as Denner, Digitec Galaxus or Migros Bank

Migros is a network of numerous sub-organizations. More than 75 contacts and representatives had to be integrated into the process. Each unit manages its own employees, including HR data, arrivals and departures, retirements or turnover.

The big challenge: This data could not be moved centrally or shared uncontrollably. Data protection and role logic were business-critical.

02 Sensitive HR data and high security requirements

In addition to classic event data, highly sensitive personal data had to be processed. Different HR managers were only allowed to access their own data sets.

SSO was not possible, which is why an extended security concept including 2-factor authentication was implemented together with evenito.

03 Logistics for 20,000 people per day

Not just the question “Who is coming? “was decisive, but above all: Who is coming when, from where and by which means of transport?

The journey with SBB and Eurobus had to be carefully planned. At the same time, business continuity had to be ensured: Companies were not allowed to stand still.

04 Different communication realities

Not all employees have a business email address. Communication therefore had to function via various channels: intranet, website, e-mail, telephone and notices on the bulletin board. Multilingualism was also essential.

Solution: How evenito supported Migros

01 Central platform with decentralized responsibility

With evenito, Migros was able to set up a system that enables centralized control but allows decentralized processing.

Each organizational unit managed its employees independently in the tool within clearly defined role and rights concepts.

HR silos remained in place without losing overall control. The project team didn't have to manually move or consolidate sensitive data. Processing was carried out in a structured and secure system.

02 Professionally managed onboarding by over 75 managers

More than 75 people responsible were introduced to the software. Together with evenito, step-by-step processes were defined and clear timings for uploads, allocations and adjustments were set. The tool became the structural anchor point of the entire project.

03 Token-based, personalized communication

The invitation was digital and highly personalized. Secure token logic not only allowed logins to be controlled, but also:

• Organizational membership

• Transport allocation

In addition, an external interface was integrated, which generated a personalized video for each guest. In it, the CEO addressed each employee by name for maximum personal contact.

04 Close collaboration as a project partnership

The project brought new requirements, which were further developed together. evenito was both a software solution and a supporting partner.

In an iterative process, it was defined: What do we need? What is possible? Where do compromises need to be made?
