In 2024 and 2025, the nine-person team organized a total of more than 20 events with around 36,000 registrations, including incentive trips, conferences and major events.

Challenge
Before the introduction of evenito, event management at LVM was characterized by manual processes and system breaks.
01. Paper-based invitations and lack of flexibility
Invitations and extensive travel brochures were sent by post. Changes were time-consuming, expensive, and inflexible. At the same time, digital registration was carried out using a very simple tool from a local provider without a modern user experience.
02. Missing all-in-one solution
Website, ticketing, check-in and guest management were not integrated. Separate documents were required for a lot of information. There was no “all-round carefree solution.”
03. Logistical complexity at major events
Large-scale events with several thousand participants in particular lacked a system that cleanly combines invitation management, check-in, badge printing and hotel organization.

Solution: How did evenito's software help overcome the challenges?
With evenito, LVM introduced a central platform for all event formats, from incentives to major internal events.
01. Templates for consistent event websites
With the support of the evenito Customer Success Team, templates were set up that ensure a uniform appearance in the corporate design. Shortly after the contract was signed, a major project was already pending and the templates enabled a quick, professional start.

02. Digital event websites instead of printed documents
Printed invitations and brochures were replaced by dynamic event websites. Content can now be updated on a daily basis. Communication is significantly more flexible and, thanks to CI-compliant design, looks like an internal development.

03. 90% use of the check-in app
The check-in app is now used at selected events events, even for events with older target groups. Over 90% of guests easily used the QR code check-in.

04. Accurate attendance recording: show rate of 98%
The average attendance rate at the major LVM event was 98%. The no-show rate was just 2%. This data is essential for billing, incentive taxation and future planning.

05. Dashboard & live KPIs
Instead of Excel lists, the evenito dashboard offers a live overview of registrations, registration rates and booked activities. Especially when it comes to program items based on the “first come, first served” principle, the team recognizes in real time which offers are particularly attractive, which provides valuable insights for future event concepts.

06. Managing a 10,000-person major event
A major internal event in Frankfurt took place over four weeks with around 500 arrivals and departures daily. A total of 10,000 participants were invited and managed via evenito.
Check-in was combined with badge printing. In addition, the badge was used to generate a detachable luggage tag with hotel information, a decisive aid for luggage logistics between hotels.
