It is complemented by regional formats such as “Baloise on Tour,” which brings music directly to customers in various regions. Baloise is also active in the areas of sustainability and employer branding, creating numerous points of contact beyond music and culture.

Challenge

Prior to the Introduction of Evenito, Event Management at Baloise was highly fragmented and manually organized:

a. Time-based, analog processes:

Invitations were sent by post, feedback was entered via prepaid response cards and transferred manually to Excel. The lack of automation led to high administrative costs and a tendency to errors.

b. Inconsistent Branding and Decentralized Processes:

Each general agency (GA) organizes events independently, often with different designs, communication channels and processes. A consistent brand image and a central overview were barely possible.

c. Lack of data structure and reporting functionality:

Participant data, preferences or no-show rates could neither be collected nor evaluated centrally. Follow-up or data-based optimization of the events was virtually impossible.

d. Sustainability and resource efficiency:

Baloise was looking for a digital solution that would replace paper-based processes, reduce costs and reduce its environmental footprint.

Solution

How did Evenito help overcome the challenges?

Evenito was introduced as a holistic platform for invitation and participant management, with central control but decentralized use by 30 general agencies. Each general agency works independently with Evenito and uses the platform primarily for smaller, regional events. The system is controlled by three regions, each of which is responsible for a marketing manager. The Marketing Managers are briefed centrally and then plan the upcoming events together with their general agencies. Many processes and templates are prepared centrally, which ensures quality and consistency, while local implementation is decentralized. In this way, the organization remains manageable for all parties involved and the head office maintains an overview and control at all times.

a. Centralized Management, Decentralized Implementation:

The headquarters provides templates, legal requirements and CI/CD compliant designs. Each general agency can thus create, duplicate and adapt its own events in just a few minutes — efficiently, on-brand and with a central overview.

b. Consistent Branding and Professional Communication:

Thanks to individually customizable event websites and email templates, all locations communicate in a uniform Baloise look. This strengthens the brand image and creates recognition across all event formats.

c. Digitalization and Sustainability:

By replacing printing houses, mailing and paper invitations, Baloise is significantly saving time, money and resources. Fewer “sending trees” was a key request, supported by digital workflows and automated processes.

d. Improved database and guest management:

All guest data is collected centrally, including preferences, allergies or room preferences. Check-ins are carried out digitally and no-show rates can be measured precisely. Reporting provides valuable insights for follow-up events.

e. High user acceptance and intuitive operation:

Employees quickly accepted the new solution. Dominique Olah, event manager and single point of contact for Evenito, describes the tool as “as intuitive as an iPhone” — simple, logical and pleasant to use.
